User Roles

Are you not always sure what the individual functions in the application mean? Or would you like to learn how to customise the application to best suit the needs of your organisation? Then you are in the right place. The Payminator team has now prepared several articles explaining the individual functions and settings in more detail.

Let us start simply with the individual user roles in the application.

Administrator: There can only be one Administrator within the company. The Administrator can perform all actions in the application, such as approving and rejecting requests, adding employees, uploading documents, communicating with employees through the Messages section, adding and blocking user roles, changing company settings, and performing bulk exports and imports. The Administrator is usually the Head of HR or the Head of Payroll.

Payroll Accountant: This role can be assigned to multiple users and is intended for payroll accountants or persons authorised to approve requests. Payroll Accountants can approve and reject requests, add and block employees, communicate with employees in the Messages section, upload documents, perform bulk exports and imports, and in the settings section they can also view emails sent from the application. Payroll Accountants receive email notifications twice a week informing them about the number of requests waiting to be processed.

Viewer: This role can also be assigned to multiple users and is intended, for example, for HR staff or other contact persons who want to have an overview of the process within the organisation, such as department or store managers. Viewers can help employees with preparing forms. Their permissions include viewing requests, adding employees and employee documents, communicating through the Messages section, downloading archives, uploading exports, and similar activities. However, Viewers cannot approve or reject requests.

Finally, it is important to mention that none of the roles are authorised to submit a request for approval on behalf of an employee. A request can only ever be submitted by the employee themselves.
